This is a guide after completing the application for cancelling the contract and moving out.

Scheduling of the inspection time.
※Please contact us until one week before the move-out date to make a reservation of the time for the room inspection.
The tenant must attend the room inspection when moving out.
After the move out application, please schedule the inspection time, until at least a week before your moving out date.
※The inspection must be performed in an hour between 11:00 ~ 15:00 on the last day of the contract.

You may also schedule the date/time on weekends and holidays, with the exception of the extended New Year, Golden week, and Obon (summer vacation) holidays.
※Some branches are closed on Wednesdays and can not perform the room check.
※To change the time or date after the inspection time was already confirmed before, please contact us at least 2 days before the inspection date. ※We may not be able to change the desired time depending on the schedule of the staff and branch.

- The scheduling is made in order of request, so please contact us as soon as you have decided the time/date.
- Only the owner of the contract of the room can schedule and perform the inspection.
- When performing the inspection, the room must be empty of the tenant belongings.
- It takes around 30 minutes for inspection and calculations. After it is concluded, you will return the keys and will not be able to enter the room anymore.
Address transfer/cancellation of the Insurance.
Apply for address transfer/cancellation, if you have an insurance for the room.
Cancelation of utility companies services.
Contact electricity and gas companies and water supply at least 5 days before moving out.
※ If the water fee is included in the rent, no procedures are required for the water.
※ If you have changed amperage of the room, please restore it before moving out.
Cancellation of Telephone/other Internet services.
Please transfer or suspend telephone, internet, etc... line and services.
※ The LEONET contract is cancelled along the contract of the room.
Mail relocation/forwarding service (Japan Post).
Please, apply for the relocation/forwarding service to redirect the postal items from the former address to a new address.
You can submit the form online or at the nearest post office.
Please, bring your identification card such as driver's license, passport, individual number card, residence card etc. to check the former address.

▶ Don't forget to change the address of online subscriptions and online shopping ⇒ You may have problems, such as package delivers or documents being sent to the previous address instead of the new address after you move out.
Return of furniture/rental futon bed.
▶ Returning the futon bed:
Please, make sure the bedding set that was prepared (futon, futon cover, blanket, sheet, pillow, pillow cover, total of 6 items) have all items and leave it in the room.
The rental futon bedding has the following marks.
※It may have a different mark depending on your location, but please inform us from "Inquiry form" if you have any questions.
※The tenants will be responsible to dispose or return the futon beds and mattresses that were purchased or rented by them.

Garbage generated when moving out:
The cost for disposal will be charged if you leave garbage in your room or accumulated in the disposal area. Please, dispose the garbage according to local rules.

When the final calculations results in a refund, the amounts will be transferred in a later date to the registered bank account of the tenant.
Due to the refund procedures the transfer is performed on the following month.

The values will be returned to the account registered for the rent automatic debt.
※You can give the information of a different bank account for the refund transfer.

【 Base cleaning fee 】
The tenants that are using the rooms through a Chintai rental contract must pay a base cleaning fee according to the type/size of the room.
※The tenants that paid a set amount during the start of the contract will not be paying the same values described below.

【 The rent until the last day of the contract 】
You must pay the rent up until the last day of the contract.
※You will be paying at least 1 month of rent starting from the day you gave the notice.
※If you paid the full rent with the automatic debit, the amounts will be subtracted from the final calculation and you will either pay the difference or in case of a surplus, the remaining amount will be refunded.
※The rent is charged automatically by the bank until the last day of the contract.
The information of the automatic debit is only available to LeoPalace a 7 days after the debit (it can take more days due to weekends or holidays)
※The rent is charged automatically by the bank until the last day of the contract.
If you are using the Resona debit services「りそな決済サービス」 which are debited on the 3rd day of the month, (affected by weekend and holidays) there is also a possibility of the rent being charged even after leaving the room.
※If you verified that the amounts for the rent were debited, the refund is made in different dates than the normal debits. Please check here for the refund information.

Please, file the notice at least 1 month before the date you are leaving the room.
●Example of rent calculation (If the rent is 50,000円 and leaving on the 25th day of the month):
50,000円 × 25days (daily calculation) ÷ 31days(number of days in the month) = 40,322円 will be the amount charged if the notice was given in time.
The amounts that were debited automatically will be used to pay the calculated days and the remaining amounts will be deducted from the remaining charges or refunded to the account.
【 Regarding the restoration fee (Room repair charges) 】
If there are damages, stains due to the negligence or misuse of the tenant, the costs necessary for the room to be restored (repaired) to the state it was before the tenant entered will be charged.
The tenant may be charged for the restoration fee (repair charges ) of the room.
- Damages due to carelessness or negligence of the tenant.
- Damages due to the tenant using the room/appliance in a way it is not intended.
Example:
・The tenant tripped and bumped into a furniture that then broke the window glass.
・The tenant spilled a drink over the flooring and didn't clean it right away, staining the wood.

The charges made for the restoration fees follow the guidelines from the national Ministry of Land, Infrastructure, Transport and Tourism.

【 Breaking of contract fee 】
Depending on your type of contract, penalties may be charged within a determined period.
If you end the contract sooner that a determined period, a breaking of contract fee (Aprox. 1 to 2 months of rent) will be charged along the contract final fees.

【Regarding the Renewal and Subscription fees】
All the unpaid fees, such as subscription fees or contract renewal fees must be paid.
【Guarantor charges / Guarantor annual fees 】
The charges and renewal fees from the guarantor company are not refundable.
(The only refund available for the guarantor fee, is if the tenant cancelled the contract before the first day the rent will start being charged).
【Deposit / Key money】
Deposit (敷金): This fee is paid at the start of the contract and used to subtract of the charges on the end of the contract, such as unpaid rent and fees or for the restoration (repair and cleaning) fees by the end of the contract. If there is a surplus the remaining amounts are refunded.
Key money (礼金): This fee charged at the start of the contract is not refundable.
【Regarding the payment of the final calculation】
For specific questions for your contract, file an 『Inquiry Form』 with your question and information.
※If you are questioning for a room you already left, file the address of the room you left in the form.
When performing the room inspection, be sure to not leave any belongings or garbage in the room.
The staff will visit the room at the scheduled time for inspection and the tenant must bring the following documents and items to the inspection:

※If there is a security system in the room, return the IC-Stick keys that were given at the start of the contract. - Family seal of the contractor (you can use an attached ink cushion).

・Student card(Issued by the school submitted at the time of contract)
・Resident (Zairyuu) card
・Special permanent resident certificate - Pre-existing damage report (customer's copy).

The updated bank book will be used to check if the automatic debit of the rent was performed. If it was still not processed by the bank (within a week after the debit). Not necessary if the rent automatic debit was not performed.Regarding the registered account bankbook 👈
By the clauses on Chintai rental contracts, Membership contracts and monthly payment system contracts, the rent and monthly fees payment must be performed by automatic debit in a registered bank account.
The rent of a month is paid in forward on the end of the previous month by the automatic debit. It takes around a week after the debit for the amounts to be processed and received.If the room inspection is performed during this processing period of the bank, it will not be possible to verify the payment. To be sure that the payment was debited, the updated bankbook will be needed as proof.

[Base cleaning fee]
A base cleaning fee is charged depending on the type of room.
※Check here the detailed information regarding the base cleaning fee.
※Not required at the end of Monthly short term contracts.[Rent until the day of moving out]
The rent will be charged until the last day in the room.
Although, if the notice was given in less than 1 month from the day of the moving out, the rent will be charged counting 1 month from the day the leaving notice was registered.
Normally, the full rent is programmed to be debited by the bank until the last month in the room.
It takes around 1 week for the automatic debit to be processed.
(This confirmation date will vary with the bank working days).The surplus of the rent that was paid will be used for the other fees, such as penalties, cleaning and repairs. If there is still values remaining after the deduction, it will be refunded to the tenant on the following month.
If the amounts paid surpass the amount needed for the final payment, the remaining amount will be refunded according to this schedule.

Repair costs may be incurred in addition to the basic cleaning fee for damage caused by the customer's intention and negligence, or due to use that is not considered as standard use.
Ex)
・Accidently hit the furniture and broke the sash glass
・Spilled a drink on the floor and it became a stain(mold) due to lack of care.

[Break of contract penalty]
Depending on the contract type, there may be a clause regarding the contract period and penalties for terminating it too early.
If you cancel the contract during this period, the penalty (amounting one to months of rent) may be incurred. For more information, check your duplicate of the contract, the office where the contract was made or the nearest Leopalace Branch.
[Contract renewal fee / annual membership fee]
If you have pending fees, such as renewal fee or annual membership fee, the remaining balance will need to be paid when you move out of room.

※Not required for digital (electronic) contracts. The inspection will be made even if you cannot prepare on the day. - ※Regarding the inspection through a proxy (PoA).
If a proxy will be accompanying the inspection on behalf of the contractor, please contact us in advance and prepare the proxy document (PoA - Power of Attorney) with a copy of your identification of your proxy.
Room inspection with a proxy and the Power of Attorney (proxy letter) document.
On the day of inspection, we will check the room condition, return the key, and settle the payment, so the contract is required to be present.
Please, inform us from 『Inquiry Form』 if the contractor will not be able to attend and a proxy will be present instead.
On the day of the inspection, the proxy must prepare the PoA with the contractors document copy and an identification document of himself (driver's license, passport etc.).
For the PoA, please print out the attached document and fill in the required items.
※If you cannot print it out, please fill in the same contents with necessary information.

The LEONET points left in the account are not refunded when the room contract is canceled. It also cannot be used to discount from the final fees (cleaning fee etc..) calculation.

Regarding the LIFESTICK.
The LifeStick services were only available for LeoPalace apartments, but now you can also subscribe to some plans that are available even after moving out (there are no internet plans for buildings that are not managed by LeoPalace). Please check here for more details.
Canceling the move-out or changing the final date.
[ Regarding the cancelation of the move-out application ]
You will need to fill the "Move-out cancellation request" 「アパート解約取消通知」 in a letter by mail or submit it directly at the nearest LeoPalace Branch.
Print the attached file below, and fill in the required items in "Notice of canceling move-out application" and submit it to the nearest Branch.
※If you are not able to print the, write down the same content that is shown on the file and fill the necessary information.
